7 Ways Your Dental Office Can Increase Time-Of-Service Collections

If you’re struggling to control your outstanding accounts receivables, there’s a simple way to remedy this issue – collecting payment at the time of service. It seems like a simple suggestion, but you’ll need to do some preparation and training with your clinical and front office teams.

Time Of Service Collections

The best way to get your team on the same page is to define when a patient’s appointment is over. For example, dental hygienists or assistants will sometimes finish up an appointment and then escort the patient right out the doors. Instead, patients need to be escorted to the front desk, where payment can be collected.

In order to give your front office staff the time to collect payment, you may want to delegate other responsibilities to the clinical staff. This includes scheduling. If you can make follow-up or treatment appointments in the back, this can give the front office time to produce cost estimates. In addition to giving the front office staff extra time, the traffic around the front office desk will decrease, as appointments are made in the back. If patients have to stand around and wait for the front office staff’s attention, they may just leave without paying or scheduling.

Another important step in collecting payment at the time of service is providing your patients with prior estimates for treatment costs. This way, they’re more likely to have the funds available and pay on the spot.
