  • First phone call – Make sure the staff members who are charged with answering the phones are knowledgeable, friendly, and personable. The first phone call to your dental office is your very first impression to your potential patients; make sure it’s a good one!
  • Initial paperwork – Make sure that your new patient paperwork is clear, concise, and will contain information about the first exam at your dental practice.
  • Initial consultation – The initial consultation is the time for your patient to discuss any questions or concerns they may have about their oral health. Use this time to go over your patient’s goals about his or her smile and dental health.
  • Examination – During your new patient’s initial examination, it’s important to be friendly and approachable. Make sure you’re using language that your patient can understand instead of dental jargon. Using technical language can cause your patient to feel overwhelmed and may damage the trust that you’ve established. Next, communicate clearly about each step of the exam and why the tests are necessary.
  • Follow-up phone call – At the end of the day, a member of your staff should call the patient to follow-up about how the appointment went. This phone call can be used to answer questions the patient may have or to explain why any further treatment was suggested.
